What this covers

AxleVault is a bookkeeping and compliance app for trucking owner-operators and small fleets. This policy explains what information AxleVault collects, why, and what control you have over it. It applies to the AxleVault mobile apps and the axlevault.com website.

Information you give us

Account details: your name, phone number, and email address. If you sign in with Google or Apple, we receive your name, email, and profile picture from them — never your password.

Business records you enter: your company profile (legal name, MC/DOT numbers, EIN, address), loads, fuel purchases, maintenance, expenses, taxes, IFTA figures, hours-of-service logs, and equipment details.

Driver records you enter about your team: names, CDL numbers and expiration dates, medical card dates, and similar compliance dates. If you add records about other people, it is your responsibility to have their permission.

Receipt photos: images you photograph or upload so AxleVault can read the vendor, total, and date off them.

How we use it

To run the product: showing your numbers back to you, calculating summaries, generating your exports, deriving due-date reminders, and reading data off receipt images.

To sign you in: sending one-time codes by text message and verifying Google or Apple sign-in tokens.

We do not sell your information. We do not show ads. We do not use your business records for advertising or share them with data brokers.

Text messages (SMS)

AxleVault sends texts only when you ask it to: one-time login passcodes when you sign in with your phone number, verification codes when you change your phone number, and an occasional invite text when a company owner adds a teammate. Message frequency varies with your use. Message and data rates may apply. Reply STOP to opt out of texts (you can still sign in with Google or Apple) or HELP for help.

No mobile information is ever shared with, or sold to, third parties or affiliates for marketing or promotional purposes. Your phone number and your text-messaging opt-in and consent are excluded from any sharing of any kind — we use your number only to deliver the messages described above through our SMS carrier.

Who processes it for us

Like most apps, AxleVault runs on infrastructure providers who process data on our behalf: cloud hosting and databases, Amazon Web Services (S3 for receipt image storage and Textract for reading text off receipts), an SMS provider to deliver login codes, and Google/Apple for sign-in. These providers process your data only to provide their service to us.

Cookies and advertising measurement

The axlevault.com website and the app.axlevault.com web app use Google Ads conversion-measurement cookies. When we advertise AxleVault on Google and someone clicks one of our ads, these cookies let us tell that the click led to a free trial or a subscription, so we know our advertising works. That is all they do: they measure our own ads. They do not read your business records, they are not used to show you ads inside AxleVault, and we do not sell or share your information for anyone else's advertising. The Android app contains no advertising or analytics code at all.

You can block or clear cookies in your browser at any time — AxleVault works exactly the same without them. Google's handling of this measurement data is described in Google's own privacy policy.

Notifications

Due-date reminders are scheduled locally on your device and are off by default — you turn them on in More. We do not send marketing notifications.

Security and retention

Data moves between your device and our servers over encrypted connections (TLS). Access tokens are short-lived and stored in your device’s secure storage. We keep your records for as long as your account exists, so your books stay complete across tax years.

Deleting your account and data

You can permanently delete your account inside the app: More → your profile → Delete account. If you are the only member of your company, this also permanently deletes the company and every record in it — loads, expenses, receipts, fleet, drivers, everything. If other team members remain and you are the owner, you can transfer ownership first, or — after an extra confirmation — delete the entire company anyway; teammates keep their sign-in but lose access, and all company records are erased for everyone.

You can also request deletion without the app at axlevault.com/delete-account.html or by emailing support@axlevault.com from the address on your account. Requests are completed within 30 days.

Children

AxleVault is a commercial tool for working truckers and is not directed at anyone under 18.
